Updated order notes for your BigCommerce store

We’ve made some changes to the way Harper writes order notes in your BigCommerce store. This document explains what’s new, what’s changing, and what your team needs to do before 1 June 2026.

These changes were driven by feedback from finance teams across our partners. We heard that it wasn’t always easy to know when a Harper order was ready to reconcile. The new structure directly addresses this, introducing dedicated finance and payments values and a clear signal for when an order is ready to audit.

Do you need to take action?

⚠ Action needed if your team uses Harper order notes — for example in finance reports, order filters, or reconciliation workflows. The old values will stop being applied after 1 June 2026. You'll need to update any references to use the new values before then. Get in touch: support@harperconcierge.com
✓ No action needed if your team doesn't currently use Harper order notes. The new values will simply start appearing on orders automatically.

Where to find notes in BigCommerce

Harper notes in your store

Harper order notes appear in the staff notes field on each order in your BigCommerce admin. They are updated dynamically throughout the order lifecycle and can be used to identify the current state of any Harper order.

New values, live now

The new staff note structure

All new values use a consistent hrp/ prefix, making Harper activity easy to identify and filter. Values are grouped into three types: status, service, and finance.

Status values

Mutually exclusive — only one status value appears at a time.

Order placed but not yet received by the customer

hrp/status/in_trial

Order is currently within the try-on or appointment period

The try-on period has ended (items returned or purchased)

Service type values

Written to every Harper order — indicates which service was used.

Finance & payments values

These values help Finance and Ops teams understand the reconciliation state of each order. Rather than inferring payment status from order state, you now have a dedicated set of values that track the financial position of every Harper order.

If anyone in your team is currently filtering on the values below in reports or workflows, those references will need updating before 1 June 2026.

The following values will stop being written after 1 June 2026. Both old and new values are currently running in parallel to give you time to make the switch.
